Why it is important to optimize business processes before implementing an ERP system and how to approach process analysis systematically.

How Process Analysis Works

In the first phase, our consultants map key business processes directly at the customer’s site. We use structured interviews with process owners, observation of actual workflows, and analysis of available data. The output is a process map of the current state (as-is).

Next, together with the customer, we identify opportunities for improvement: unnecessary steps, duplicate activities, bottlenecks, and tasks with no added value. Based on this analysis, we design the target state (to-be), which then becomes the blueprint for QI ERP configuration.

Typical Areas for Optimization

Approval processes — in many companies, a purchase order or invoice passes through unnecessarily many approval levels. Simplifying approval workflows with clearly defined rules accelerates order throughput.

Inter-departmental communication — if the sales department communicates with production through emails and phone calls instead of a shared system, information is lost and delays occur. QI ERP ensures that all departments work with the same current data.

Record keeping and reporting — many companies maintain parallel records in spreadsheets outside the main system. The reason is usually insufficient functionality of the existing solution.
